Position Description

Title: Project Manager/Business Analyst

This position will entail a unique blend of roles and responsibilities:

1) Project Management - manage Clinical projects from conceptualization through commercialization

2) Support Director of the PMO to maintain and enhance the infrastructure

  • needed to support financial planning and tracking of project work within the Clinical Division

The individual right for this position should possess strong Project Management skills and competence and an interest in using technology to manage data and processes and a willingness to assist others in adopting and thriving using new tool sets. The allocation between these two responsibilities will be determined and adjusted based on the needs of the business, but is likely to be around 50/50 split, initially.

“Infrastructure support

  • ” includes the following:

  • Supporting, maintaining and training on tool sets used to plan and track project work. Heavy focus on managing financial data: providing reporting, ensuring accuracy of project and business coding and supporting users of the data to provide budgets and to analyze the results – use of Excel, pivot tables, use of formulas or queries needed

  • Interacting with stakeholders (US and international) to gather and consolidate financial data, set develop timelines for budgeting or financial reporting work, confirming their deliverables are complete, and accurate. Delivering files to Finance or other groups as necessary.

  • Understanding project coding, ensuring project coding is accurate, troubleshooting and supporting stakeholders in project coding activities

  • Providing support to PMO colleagues in form of enhancing our toolsets, managing and maintaining our templates and supporting ongoing process improvements within the CPMO and NA Clinical division

Primary Responsibilities:

  • Organize information and data within the North America Clinical Division to be accessible and useful to stakeholders (Project Managers, CPMO, Clinical Managers, Sr Leadership Team) for current and future work (budget and schedule tracking)

  • Provide guidance, training and support to Clinical Resourcing Managers to assist them in planning capacity and managing project performance.

  • Take leadership for standard planning and execution activities with the Clinical Division including processes in support of annual budgeting, capacity utilization, change management, ongoing project management methodology and process training and knowledge retention.

  • Manage individual Clinical Projects to publication as assigned. This responsibility includes working with project team to develop project scope, schedule, budget, Business Case, tracking actuals through the life of the project, working risks and issues to resolution, providing project reporting as required, leading a project team, etc.)

This individual will be responsible for working closely with the Director of the Project Management Office, Clinical Resourcing Managers and Clinical Leadership Team (as required) to ensure successful project execution with the Clinical Business.

This position will be responsible for managing and maintaining a variety of incoming and outgoing data (including budget and cost (actuals) data) from a variety of locations, analyzing data to identify trends/issues (relative to project execution), and developing and maintaining a series of reports to provide information for a variety of stakeholders. Accuracy of the information and eye toward details is of critical importance in this role.

In addition, the person in this role will provide additional resource capacity to the PMO by managing one or more traditional Clinical projects, following the standard policies and procedures of the PMO. These projects are managed using a waterfall methodology with digital work (managed by the digital teams through an Agile methodology) included in the overall schedule. Therefore, applicants must have solid Project Management experience and success. Experience in waterfall methodology required, experience in Agile methodology beneficial. PMP certification is preferred.

Travel may be requested, but is not expected to be a routine expectation of this position.

Qualifications

Skills/Experience Required

  • Exceptional “people skills” and demonstrated abilities in conflict resolution and team facilitation

  • Exceptional written and verbal communication

  • Ability to multitask and manage changing and competing requests

  • Ability to work independently with minimal supervision

  • Competence with all MS Office products, including MS Project, Word, Outlook, PowerPoint, and Visio, above average skills in Excel required

  • Competence in running queries and reports from ERP systems (such as Oracle or other such systems)

  • Knowledge of PMI --Project Management Body of Knowledge principles and vocabulary

  • Experience in Project Management, or equivalent work experience in managing people, setting goals, tracking budgets

  • Proven track record of delivery of results, decision-making, critical thinking

Requirements

At least three years of successful experience in:

Managing projects/programs including developing and managing scope, budget, schedule and quality components of projects comparable in complexity to publishing a psychological test.

This position requires a solid mix of business analysis skills, project management skills, strategic planning skills, feasibility analysis skills, and stakeholder and people management skills. A successful candidate must be intuitive, adaptable, creative, and collaborative with excellent communication and interpersonal skills. He or she must also possess strong business acumen with an ability to lead teams of individuals through a variety or activities and communicate effectively with all levels within a corporate setting. Finally, the candidate for this position must love project management and enjoy working with financial data.
