Pearson Executive Assistant to SVP of Finance Operations & Global Transformation in London, United Kingdom

Summary of Role

We are looking for an Executive Assistant to provide support to the SVP Finance Operations and Global Transformation (Havana Abid) and the SVP Finance Partner for Virtual Learning and Workforce Skills (Andrew Malcolm). Working alongside senior leaders at a global company, you will gain access to every facet of a high functioning Finance and Transformation team. This is a fast-paced and dynamic environment requiring a full-time role for an ambitious and driven Executive Assistant. The SVPs to be supported have multiple reporting line accountabilities to the CFO, Chief Strategy Officer and Divisional Presidents of Virtual Learning and Workforce & Skills. The support will be provided to SVPs who sits across several leadership tables, strategic portfolios and supporting varying teams relevant to these SVPs roles and responsibilities.


  • Manage the inbox and timeliness of responses to internal and external queries and communications, often handling highly sensitive and confidential information with absolute discretion

  • Manage a complex business calendar. Proactively manage changes without consultation whilst resolving issues and conflicts, awareness of stakeholder priorities and business imperatives is needed

  • Coordinate and plan trips by arranging appropriate travel, visas, agendas, and necessary contacts. Executing all travel arrangements in line with global company policies for a smooth and safe travel

  • Schedule and manage team meetings - create agendas, take minutes, and follow up on action items

  • Form strong relationships with members of the executive team, FLT (Finance Leadership Teams), wider function, and business divisions including extended teams as well as fellow assistants.

  • Work closely and effectively with external stakeholders, partners, third party suppliers and professional bodies where required.

  • Supporting these SVP leaders will include managing meetings, engagements and activities that connect with PEM (Pearson Executive Management), Board members and wider Pearson Leadership Group.

  • Run the executive office by managing team leave requests, onboarding new joiners, completing expense claims, managing open audit and control issues, reporting, presentations, budgetary information, and requisitions in a timely manner.

  • Ensure team management basics are in place - role profiles, quarterly feedback sessions, training requirements and that all aspects of people leadership obligations are met in a timely manner.

  • Coordination of communications requirements supporting strategic communications, team, and engagement communications, townhalls, direct report meetings and events, as well as involvement in a wide range of internal and external events. Drive and deliver communications, managing profile and Neo profile of the executive ensuring adequate presence is maintained.

  • Create and maintain an excellent team environment by living and breathing our values and ensuring the needs are met of not only the executive but her wider team and the broader Finance Operations Group.

  • Perform some basic finance tasks such as cost centre budgeting and review, financial planning, reporting including managing business cases and inputs for annual trading and results as needed.

  • Support the smooth operational running of the Finance Ops centres including sign offs, approvals and schedule of authority items being processed on behalf of executive in line with policy, controls and expected practice.

  • Support smooth running of the Finance Partner’s needs in supporting the Business Divisions under their management namely Virtual Learning and Workforce & Skills being flexible to support the multiple time zones and needs of that market and business facing high profile remit and role.

  • Lead, drive and deliver adhoc projects, initiatives and assignments as needed to enable the function to deliver effectively on its goals and commitments when required.

  • Drive project management office disciplines around planning, monitoring, reporting and risk and issue management as needed to ensure the leadership of the functions of Transformation and Finance Operations are delivered efficiently and effectively.

Experience and Qualifications:

  • Demonstrable experience operating as an Executive Assistant in a fast-paced global organisation

  • A self-starter with ability to work independently, anticipate needs and make sound decisions with minimal direction

  • Exceptional prioritisation, organisational and communication skills

  • Excellent discretion and judgement including managing highly sensitive and confidential information

  • Ability to manage a variety of activities, tasks, time zones and cultures

  • Digitally savvy, experience with enterprise systems (expenses, travel, MS office, Google Suite, Zoom & other telecommunications software etc.)

  • Passionate about helping people make progress in their lives through learning

  • Versed on the strategy, business, and transformation priorities of the company with ability to build knowledge and retain insights needed to help executive be effective in their role

  • Developing and implementing new administrative systems as needed.
