We are seeking at Proposals Coordinator to work in our Iowa City, IA office.

Requirements:

  • Create and assemble hard copies and electronic versions of RFP responses: binders, tabs, collateral, attachments, cover letters, etc.

  • Analyze each RFP to determine the exact needs for production for each proposal.

  • Collect collateral and attachments as needed for proposal production.

  • Perform final proof of documents during final print/production.

  • Package and ship final response as needed (FedEx/UPS).

  • Maintain printer and supplies for proposal production.

  • Assist in maintaining department intranet site.

  • Search for open RFPs and manage vendor registrations for RFPs.

  • Communicate and post RFPs for access.

  • Adhere to best practices of position and department.

  • Maintain in-house RFP library and in-house proposal library.

  • Manage storage of CDs and hard copy proposals in Pearson warehouse per retention policy.

  • Investigate “greener” production supplies per Pearson’s environmental policy.

  • Share with other staff the duties of proposal coordination.

  • Work with finance department to obtain billing numbers, checks or POs for projects as needed.

  • Provide general administrative support.

  • Gather data and generate reports for Proposal Services.

  • Provide updates to Proposal Services Intranet site.

  • Maintain department documents as needed (contact list, cameos, process documentation).

  • Maintain department software license documentation.

  • Accept responsibility for projects and activities outside of core area as needed.

  • Collaborate on monthly reports.

  • Occasional night and weekend work may be required.

  • Other duties as assigned.

Qualifications

  • High school diploma required, college degree strongly preferred.

  • Previous proposal, administrative, or production experience preferred.

  • Strong verbal and written communication skills required.

  • Demonstrated strong multi-tasking administrative and organizational skills required.

  • Strong problem solving skills that demonstrate appropriate prioritizing skills.

  • Strong ability to work in teams and collaborate effectively with others.

  • Acute attention to detail and commitment to accuracy.

  • Excellent time management skills.

  • Ability to work in a high pressure, deadline-driven environment.

  • Ability to handle confidential and sensitive information.

  • Demonstrated experience using PC hardware; Microsoft Word proficiency, spreadsheet knowledge, and Adobe Acrobat proficiency required

  • Ability to work in a team environment, good at anticipating the needs of others, and assertive and adaptable.
