Position Summary:

Pearson Online & Blended Learning supports Connections Academy Schools, which are customers with independent governing boards or school districts. Pearson Online & Blended Learning provides various products and services to support customers, school leaders, administrators, faculty and staff who operate the schools. The position will be required to provide assistance with the administrative support and coordination to the Board Relations and State Account Relations teams organized under the Client & Partnerships department, a customer-facing division of Pearson Online & Blended Learning. The position will report directly to the Director of Board Relations, indirectly to the VP, State Account Relations, and work closely with members of the Board Relations and State Account Relations teams.

Primary Responsibilities:

  • Work with the Board Relations and State Account Relations team in supporting the various Partner School relationships.

  • For Board Relations this includes:

  • Preparing form templates and meeting minutes, preparing and disseminating Board packages, corresponding electronically and verbally with Board members, tracking deliverables and documents for meetings and maintaining minute books and other Board records

  • Create and maintain documentation for the Board Relations team to coordinate large conference attendance and corresponding logistics, providing regular updates on conference attendance and logistics

  • Manage onsite check-in and support board member needs while attending conferences;

  • Serve as a liaison with the Partner School staff and state entities for training/compliance and other purposes;

  • Create, implement and manage monthly school report maintenance, facilitate on-boarding and exiting of board members;

  • Manage documentation in accordance with prescribed deadlines and meeting requirements;

  • Manage processes and activities related to board member communications;

  • Track completion of Board member’s required forms/filings, training, and credits;

  • Travel logistics for travel impaired board members for required trainings/meetings;

  • Other duties as assigned.

  • For State Account Relations this includes:

  • Support and coordinate administrative tasks on behalf of the State Account Relations Directors;

  • Coordinate, schedule, tracking of internal monthly Account Management Meetings;

  • Support calendars, action item lists, updates, and follow-ups with internal staff on behalf of Partner Schools;

  • Support travel planning and coordination upon request;

  • Other duties as assigned.

  • For both Board Relations and State Account Relations this includes:

  • Assist with all aspects of training initiatives including document organization, drafting materials, coordination of travel, attendance of personnel, venue logistics, and material preparation;

  • Provide general administrative support for the department including making electronic copies, processing invoices from external parties (i.e. Board Counsel invoices), preparing shipping labels, mailing and faxing documents, maintaining up-to-date contact information for all Board members; assisting board members with expense report filings; and

Requirements:

  • Associates or Bachelors Degree preferred

  • Experience working with Board of Directors/Governing Boards and/or business leaders and in drafting minutes, preparing agendas, maintaining minutes books and attending meetings preferred

  • Knowledge of principles and practices of organization, planning, records management and general office management

  • Excellent interpersonal, oral and written communication skills

  • Ability to multi-task and work in a fast-paced environment

  • Extremely detail-oriented and efficient

  • Strong proficiency in technology including Microsoft Office applications especially in Office 365 and Google Suite including but not limited to Word, Excel, Powerpoint, Outlook, Teams, and google docs and Gmail.

  • Experience in project management a plus
