Pearson K-12 Learning is seeking a highly motivated National Events and Exhibits Manager to join the Events and Conferences team. The ideal candidate will have excellent project management, organizational, and communication skills, along with proven and innovative event and exhibit planning experience, and passion for K-12 education.

As a member of the Events and Conferences team, this position will be responsible for working closely with a group of cross-functional members from across the company to plan and execute strategic initiatives at national educational conferences and expositions. This position will also be responsible for ensuring budget adherence for assigned trade shows, accurate reconciliation of all show expenditures, and creation of pre- and post-communication plans for show assigned. The position requires a team player who can take the initiative with diverse planning teams and lead with confidence. The ideal candidate has a thorough understanding of conferences and trade show planning strategies, and can maintain a big-picture perspective to keep all moving parts of bringing an event or conference to life. The right person for the job builds quick rapport with marketing and sales counterparts with ease and is comfortable in a fast-moving environment. The role demands creativity and energy combined with a high attention to detail and vigilance. The successful candidate must have excellent writing and communications skills, vendor negotiation experience, sound judgment and a passion for education and teaching.

Primary Responsibilities :

Planning, Implementation, & Logistics (70%)

  • Establish and guide strategy for national trade show and conference programs.

  • Work closely with established cross-functional teams in product marketing, sales, creative, digital marketing and social media to design effective and lead generating activities at national expositions and trade shows.

  • Lead strategy and execution for pre- and post-conference marketing to targeted markets,

  • Plan and execute requested off the floor events such as breakout sessions, press and hospitality suites, special appearances with Pearson K-12 Learning speakers, and customer receptions and dinners.

  • Coordinate all logistics, equipment and technology needs, facilitate all collateral and product materials, manage catering needs and audio/visual requirements, and secure needed promotional items and corporate branded giveaways for national trade shows.

  • Research and present opportunities to expand the company’s presence at national trade shows beyond the exhibit floor.

  • Provide post-conference summaries in a timely manner.

Financial (10%)

  • Manage vendor payments including necessary deposits and final invoice payment processing; provide budget projections as requested, track metric and ROI information on program effectiveness.

  • Produce supporting documentation that event plans are in line with company gifting policies and gain necessary internal approvals to host customer events and activities.

  • Adhere to set show budgets and produce post show budget recaps in a timely manner.

Marketing (10%)

  • Collaborate with the digital marketing team to schedule, create and launch pre-event eblasts, RSVP landing pages, and event lead forms for national trade shows.

  • Design and launch event eblasts to prospective targeted attendees and landing pages to capture RSVPs for national trade shows.

  • Partner with social media team on building awareness of the company’s presence at national trade shows through social media channels.

Communication (10%)

  • Facilitate national trade shows pre- and post-event communications with both internal and external clients, post-event debriefs, and internal customer surveys.

  • Compile weekly reports and make data-driven recommendations which contribute to engagement strategies and leverage best practices.


  • Minimum 5 -7 years of successful trade show and national conference planning experience.

  • Experience in sourcing and negotiating with vendors and suppliers.

  • Experience working within the trade show arena, understanding of industry terminology, required timelines, coordination of show services, and long-term planning timelines.

  • Show budget management, forecasting expenditures, payment processing, and financial reconciliation experience for events, with an eye for maximizing program dollars while maintaining exhibit integrity.

  • Excellent written and verbal communication skills, able to lead cross functional teams to keep planning moving.

  • Strong project management skills, highly organized with a strong attention to detail.

  • Effective interpersonal and collaborative skills, ability to develop relationships across levels, build cross functional teams and establish effective planning practices.

  • Outside the box thinker, ability to present fresh and unique ideas that engage customers and conference attendees, stays on top of industry trends in conferences and expositions, and brings suggestions to the table for consideration.

  • Expertise in event/exhibit application platforms, audio/visual components and general technology.

  • Proactive approach to troubleshooting and handling issues on event day(s).

  • Bachelor’s Degree or equivalent work experience required.

  • Experience with Salesforce, Pardot, MS Office and Google Suite apps preferred.

  • Knowledge of K-12 Education industry preferred.

Additional Skills and Competencies:

  • This person must be able to sit or stand at a personal computer for a reasonable length of time typing and reading.

  • Ability to handle a high volume of work in compacted timelines, handle multiple priorities and projects simultaneously and operate in a demanding work environment.

  • Reliable attendance and punctuality is critical to successful performance in this role.

  • Approximately 30-35% travel required, often with weekend travel time needed.
