Pearson VUE is looking for an experienced Personal Assistant to support the Vice President EMEA and Vice President of Programme Management. Based at the global headquarters in London’s Covent Garden, a competitive salary and benefits package will be offered to the right candidate who can proactively support the Sales and Programme Management teams to win, launch and support our clients. Qualifications

Key Responsibilities

General:

  • Extensive diary management including the oversight of weekly travel requests, accommodation, airport transfers and travel itineraries.

  • Organise meeting rooms, catering, invites and agendas across the Pearson locations and externally for client meetings and workshops.

  • Screen calls, telephone queries and manage incoming letters.

  • Schedule regular team reviews and meetings, both on- and off-site.

  • Provide assistance to US Executive Assistants when needed for visitors into the UK.

  • Process cash and credit card expenses.

  • Organise key client and team meetings/seminars. Organise papers for meetings and create information packs where appropriate.

  • Occasionally support meetings, and take and distribute minutes in a timely fashion.

  • Organise and maintain key documents on the internal electronic filing system.

  • Professionally respond to visitors and telephone calls in manner that upholds the reputation of Pearson VUE in accordance with our values.

  • Deal with complaints, media calls and other sensitive issues in a professional and confidential manner.

  • Undertake ad hoc project work in order to enable the VPs and their teams to fulfil their roles and objectives.

  • Network with the Warrington-based PA and other key personnel across the group to ensure that information is shared.

  • Manage via Vision the organisational structure documents, reviewing and updating them bi-annually.

  • To undertake any other duties commensurate with the high level of responsibility of the job.

Business Development:

  • Collate and distribute the weekly team movement sheet.

  • Prepare monthly team report in Sharepoint.

  • Schedule team meetings and calls.

  • Coordinating external discussions, client calls and meetings.

  • Provide support for sales meetings in terms of travel requirements and venue logistics.

  • Support prospect enquiries from marketing team.

  • Collate and prepare presentations for events throughout the year.

  • Provide an oversight on the contracting and internal sign-off process.

  • Conduct research on clients, prospective clients and new markets as defined by the VP.

  • Market research to aid the sales process, ie. help identify existing paper and pencil programmes.

  • Co-ordinate the CRM system via SalesForce to help the team achieve maximum benefit from the tool, for example tracking salesforce leads, contract renewal dates and pipeline reports.

Programme Management:

  • Prepare monthly team report using Sharepoint.

  • Host weekly MENA call and produce minutes.

  • Approve invoices in Markview.

  • Organise and support client workshops in terms of invites, meeting rooms, catering, visitor passes and car parking.

  • Organise monthly PM team meetings – take actions and follow up.

  • Attend individual client meetings – take minutes and follow up on actions.

  • Provide project support as required on key project implementations.

  • Provide critical incident support.

Essential Experience and Qualifications

  • Ability to communicate at all levels.

  • Ability to work internationally with teams across the globe.

  • Very strong organisational skills.

  • Educated to degree level with extensive experience in a similar role.

Desirable experience

  • Able to work unsupervised on own initiative with the ability to prioritise, multi-task and delivercompeting tasks under tight deadlines.

  • Experience of diary management including arranging meetings, ensuring all appropriate documentation is available for those meetings and arranging day to day, complex and international travel and accommodation.

  • Able to write clear and accurate correspondence, minutes and papers appropriately tailored to theaudience.

  • A confident and approachable communicator able to interact with people at all levels (internally andexternally)appropriately via email, letter, telephone and face to face.

  • Strong analytical skills. Able to evaluate and interpret information to form judgments and makerecommendations for action.

  • Deal with issues of a confidential/delicate nature in a courteous and diplomatic manner.

  • Strong report writing skills with a close attention to detail including excellent proof reading skills.

  • Flexible and able to adapt to the changing demands of a dynamic business environment.

  • A commercial Awareness and understanding of the consultative sales process.

  • Good project and time management skills.

Working Arrangements

  • Full time, permanent position, 9am to 5:30pm, based at the Pearson VUE office of 80 Strand.

  • Salary: £28,000
