Purpose:

The Materials and Events Team sits within theOperations workstream of the NCT team, and is accountable for the sourcing ofvenues for Marker training events and the development and production of around500,000 administrative and training documents which are then distributed to 16,000Schools and 4,600 Markers. The team is also responsible for the successfulcollection and delivery of all tests scripts nationally in order to reach thereturn of results to schools Key Milestone through which much of the programmesprocesses are realised.

The Materials and Events Coordinator will report tothe Materials and Events Manager. Responsibilities include first-lineresponsibility for dealing with queries from stakeholders and suppliers,administration and support of the materials production and distributionprocesses.

Key accountabilities:

  • Responsible forthe design, editing and proofing of all NCT materials in compliance with DfE trademark and Brand guidelines and within the agreed milestones, maintaininggood working practices to maximise accuracy, economy, efficiency and security.

  • Responsible forthe sourcing of national venues, ensuring they meet all expected standards andrequirements in order to train 4,600 Markers.

  • Responsible formonitoring and ensuring successful delivery of replacement materials orders throughthe NCT materials website and providing MI as required within the product andcontractual agreements.

  • Provideadministrative support and assist with the successful delivery of all NCT Materialsprocesses as required within the product and contractual agreements for aspecific subject area, maintaining good working practices to maximiseaccuracy, economy, efficiency and security.

  • Responsible for themanagement, escalation and resolution of incidents related to collection ofscripts from schools and delivery of scripts to the Hellaby Processing Centre.Responsible for the training and supervision of temporary staff working onthese activities.

  • Provide administrativesupport and assistance to with the delivery of all activities to specifieddeadlines and quality targets that cover:

othe provision andmanagement of sub-contracted suppliers to provide services required that meetprogramme delivery needs, quality, security and budgetary targets;

oquantity calculationsand scheduling of production quantities to meet the needs of the current cycle;

othe end to endproduction and distribution of school and marker administrative and trainingmaterial;

othe successfulcollection and return of scripts from schools and the delivery of all scriptsto the Hellaby Processing Centre.

  • Managing own performance in relation tointernal and external service levels, including

otimely resolution of customer queries, a highstandard of customer communication and support;

ounderstanding therequirements of the programme and building effective relationships andapproaches that allow effective delivery of those needs.

  • Responsible for quotationand tender invitations to prospective suppliers and the analysis of tenders/quotations received.

Assisting colleagueswithin the NCT team with their workload during peak times and any otherreasonable programme activities as requested by the Programme Director.

Key outcomes

  • Ensuresubcontractors are able to meet client demands and prepare price summary oftender/quotations received

  • Documentdevelopment based on changes to government policy or material requirements forschools

  • All school documentsare provided as proofs for internal and external clients and signed offinternally according to production timelines

  • All marker admin documentsare provided as proofs for internal and external clients and signed offaccording to production timelines

  • All venuedocuments are provided as proofs for internal and external clients and signed off according to productiontimelines

  • All venues aresources and visited ensuring they are fit for the purpose of training NCTMarkers across the country

  • ManagementInformation is provided on a daily/weekly basis (as required) and supported byclear, confident and concise commentary

Key challenges:

  • Adherence to strict DfE brand guidelines when developingschool materials and successful production of 250 school and marker documents.

  • Adherence to strict security policies and procedures.

  • Liaising with subcontractors in gainining visibility over thecomplete collection and return of scripts from c16,000 schools and 5,000markers within tight deadlines

  • To resolve around500 escalations & complaints promptly while ensuring positive customerservice is provided consistently in accordance with Pearson Customer ServiceSLAs.

  • To respond to anyemails and CRMs within a 3 working day period as per SLA.

  • Remaining focused withattention to detail while working to tight deadlines

  • Being sufficientlyflexible to manage varying priorities and changing requirements.

  • Working within aregulated framework and PRINCE2 contractual delivery requirements

  • Adapting to thechallenges created by the introduction of new qualifications, products andprocesses as required by the client

  • Adapting todifferent IT systems and supporting Assessment Associates in their use of newtechnologies

Qualifications

Education, qualification& training:

A degree related to English or mathematics (desirable)

Essential previousexperience:

  • Experience of workingeffectively and collaboratively as part of a team.

  • Excellent writtenand oral skills.

  • Experience ofproviding high quality customer service.

  • Experience of a customer-facing role and/or experienceof a co-ordination or administrative role.

  • Good understandingof Microsoft Office package, intermediate MS Word and Excel

  • Ability to quicklylearn company-specific software.

Desirable previousexperience:

  • Understanding of print,distribution delivery and event management activities.

  • Awareness ofPearson’s business and general educational issues.

  • Knowledge of CRM,EMDB, IQS, Business Objects and Edexcel Gateway systems.

  • Knowledge andexperience of the NCT programme.
