We are looking for a highly detailed Contract and AP Administrator to work in our Glenview, IL office . This role will be responsible for the onboarding and
overall maintenance of Contracted Resources for the Learning Services Organization.
What you will be doing…
Administration of New Contract Requests and Contract Amendments
Coordinate, review and process Statements of Work from Business unit Managers
Gain spending Approval from Executives
Coordinate and maintain appropriate account activation with the HR Admin (email, Oracle access etc.)
Finalize Agreement with the Legal Admin team
Record, monitor and maintain contractor group data (vendor, resource names, rates, etc.)
Responsible for coordinating new year agreements (every Q4) for any resources being renewed
Process amendments to Agreements as needed
Record reasons for Amendment (extend end date, funding changes, changes to scope/bill rate)
Validate and code invoices to projects (primary task)
Facilitate approval from Business Unit Managers when needed/warranted
Act as primary contact for Agencies/Independents on billing requirements, questions and/or concerns
Work with AP Desk to handle escalations
Compile and communicate month end accruals
Required Knowledge and Experience:
Minimum 2 years’ experience in an administrative support role
High School Diploma
Able to work in a fast paced environment
Able to set priorities, meet critical deadlines, and produce quality work under time constraints
Must be detail oriented
Excellent communication skills, verbal and written
Experience with Oracle, Markview and MS Office highly preferred
