The Facilities ServicesRepresentative is involved in the activities that ensure adequate, properlyfunctioning facilities. Includescoordination, management and direction of services that provide organizationalsupport such as food and office services, protection and security of thefacilities and employees and/or risk management, including emergency responseplans, and adherence to the Pearson Health and Safety Program, shipping,receiving, trade show logistics. Thisposition is responsible for daily coordination of activities to ensureefficient and safe operation of the Facilities and Mail Room, including alltrade show shipping and receiving. Thisincludes interaction with various vendors to keep invoices reconciled withmaterials and labor services provided, and with the customer to addressbuilding issues in a timely fashion. Implementationand ongoing support and deployment of the Pearson Health and Safety Program arethe responsibility of this role. The position also requires contact withvendors to negotiate the purchase and arrange for delivery and installation ofequipment, furniture and supplies. Maintaining accurate building anddepartmental information on Facilities software is required.

45% Shipping and Receiving

  • Receive, sort anddeliver incoming mail

  • Prepare alloutgoing mail and packages for shipping using approved vendor software andsystems.

  • Monitor andpurchase postage as needed. Maintain mailroom in orderly manager

  • Properly packageall materials for shipping to ensure no loss or damage occurs in shipping

  • Coordinate alltrade show shipping logistics for 100 trade shows and annual global Certiportevent

  • Load and unloadtrucks

45% Facilities

  • Coordinate contracts for service provided by outsidevendors (ie FedEx, vending, ice/coffee machine, etc.)

  • Coordinate maintenance and repair of company equipment(copy machines, printers, etc.)

  • Review and ensure accuracy of invoices relative tocontract services.

  • Ensure efficient repair and preventative maintenance offacility, including some basic manual repair as needed

  • Coordinate with facilities management and/or landlordon requests like temperature control, lighting, etc.

  • Implement and maintain compliance with the PearsonHealth and Safety program including the Emergency Response Plan

  • Responsible for ordering, stocking, and delivering ofnecessary supplies for Facility

Physical Requirements and Working Conditions:

The ability to sit andconcentrate for long periods of time in a fast paced office environment. Abilityto lift up to 75 lbs. Ability to reach, bend, lift, twist, sit, walk, stand arerequired. Typically will be in an office environment but loading does occuroutside so some periodic exposure to the elements will occur.

Qualifications

Education or equivalent experience

  • 2-3 years’ experience in facilities support, mailroom, trade show logistics or similar

  • 2-3 years’ experience shipping using FedEx, UPS, USPStools, software, etc.

  • 0-2 years’ experience with spending within a budget,budget tracking, etc.

  • High school diploma or equivalent required

  • High degree of computer literacy, specifically OfficeSuite

  • Certification in Facilities-related area preferred

  • Must be able to lift up to 75 lbs
